OneLead is an autoresponder product that catches email enquiries from Rightmove and Zoopla and provides the customer with an immediate reply. The email response will include a call to action button that drives prospective buyers to the relevant listing page on the agent’s site. There the customer will be able to book a viewing for the property 24/7 directly into the agent’s calendar. The system also helps to identify if the customer is a vendor as well by inviting them to book a valuation.
To enable the autoresponder you need to setup email auto-forwarding for the emails that come from Rightmove and Zoopla.
Obtain your unique autoresponder email address
Step 1. Log in to your OneDome account, click the drop-down menu and select Company.
Step 2. Under the Integrations tab, find and copy your unique autoresponder email address.
Once you obtained your unique forwarding email address, there are 2 ways to configure auto-forwarding:
- Setup auto-forwarding on mail server level (recommended)
- Setup auto-forwarding on individual mailbox level
Setup auto-forwarding for Outlook (Office 365 or Office Online) on mail server level (recommended)
Step 1. Log in to Microsoft Office 365 using the administrator account.
Step 2. From the top menu select Admin > Exchange to open Exchange Admin Center.
Step 3. Select mail flow to create the new rule.
Step 4. Under the rules tab, select the + (New) and select create a new rule.
Step 5. Set rule name to "OneDome Autoresponder"
Step 6. Under "Apply this rule if..." choose "The sender address includes..."
Step 7. Add following addresses: firstname.lastname@example.org (for RightMove) and email@example.com (for Zoopla)and click "Save".
Step 8. Under "Do the following..." choose "Bcc the message to...".
Step 9. In "Check names" field enter your unique OneDome autoresponder email address and click "Check names" (address on the screenshot is for illustration only, replace it with the one you obtained at the previous step). Click "OK".
Step 10. Click "Save" and you should see now a new auto-forwarding rule:
Setup auto-forwarding for Outlook (Office 365 or Office Online) on individual mailbox level
Step 1. Navigate to "Inbox rules" section in your branch email account which receives leads from portals. To do that, go to Settings ⚙︎ > Options; In Options, select Organise email > Inbox rules. Or, in Options, under MAIL > Automatic processing, select Inbox rules. For more see instructions here.
Step 2. Create a new rule.
Step 3. Add new condition matching sender's address to "firstname.lastname@example.org" (for Rightmove) or "email@example.com" (for Zoopla).
Step 4. Add new action to forward email to your unique OneDome autoresponder email address (address on the screenshot is for illustration only, replace it with the one you obtained at the previous step)
Step 5. Click "OK" to save and activate the new rule. A summary will be shown.
Setup auto-forwarding for Gmail (Google GSuite) on mail server level (recommended)
Step 1. Login to your Google Admin console (at admin.google.com)
Step 2. Go to Apps → G Suite → Gmail → Advanced settings
Step 3. Scroll to the Routing setting in the Routing section, hover over the setting, and click Configure. If the setting is already configured, hover over the setting and click Add another.
Step 4. Enter following settings for the new route:
- Route name: OneDome Autoresponder
- Messages to affect: Inbound (check)
- Envelope filter: Only affect specific envelope senders (check) → Pattern match → Enter following regexp:
Step 5. Under "For the above types of messages, do the following" section, enable "Also deliver to" → "Add more recipients" and enter your unique OneDome autoresponder email address. Click "Save" and then "Add Settings".
